Booking

• By booking a Vendor stand, you accept these terms and conditions.
• Participation as a Vendor is at the discretion of the organisers, who reserve the right to approve all Vendor materials.

Cancellation Policy

• The organisers reserve the right to change the venue or duration of the conference if required by exceptional circumstances. In this case, the Vendor’s agreement to participate will remain valid, provided reasonable notice is given.
• If the conference is cancelled due to circumstances beyond the organisers’ control, or for reasons of delegate health and safety, the organisers will not be liable for any costs incurred by Vendors in preparing for the event.
• Vendor cancellations must be notified in writing to the conference organisers.
• Vendors are responsible for reimbursing the organisers for any claims, losses, or expenses resulting from their breach of these terms.

Pack-In and Pack-Out

• Vendors must comply with the designated pack-in and pack-out times as set by the Conference Organisers.

• All stands must be fully installed by Thursday 9 April 2026 at 4.00pm.
• Stands may not be dismantled or packed down before the official close of the conference at 2.00pm on Monday 13 April 2026.
• Early pack down is strictly prohibited, as it disrupts the conference experience for delegates.
• Vendors must remain fully set up until the designated close time.

Personal Data

• By completing your booking, you consent to the collection and storage of your personal data for the purpose of managing your Vendor participation.
• Data may be shared with trusted third parties (such as venues and service providers) strictly as required to deliver the conference.
• Personal data will be retained by Conference Innovators and Hauora Taiwhenua Rural Health Network for up to 24 months after the conference concludes.

Photography

• Photographs will be taken during the conference. By registering as a Vendor, you consent to the use of these images for conference reporting and promotional purposes
